Gemslinks acts as a Japan-side support provider for product purchase assistance, domestic receiving, basic item confirmation, packing coordination and international shipping arrangement. This is not an unconditional product resale service, and not all products can be purchased, received or exported.

Gemslinks reviews item details, seller information, destination country, shipping method and handling feasibility before accepting a request. Items sent to Gemslinks without prior approval are not included in the standard service.

  4. Approval, payment and service terms

    After you approve the quotation, payment is required before we start the purchase and handling process. For the first transaction, acceptance of Gemslinks’ service terms is also required.

  5. Purchase and domestic receiving

    After payment confirmation, we support the purchase process and receive the eligible items in Japan.

  6. Basic confirmation and shipment preparation

    We confirm quantity, outer condition and basic information where reasonably possible, then prepare the shipment based on item type, destination country, carrier requirements and available shipping options.

  7. International shipping

    We arrange international shipment by EMS, DHL, FedEx, UPS or another suitable service where available.

Estimated Total Cost = Product Cost + Japan Domestic Delivery Cost + Gemslinks Service Fees + Receiving / Handling / Packing Fees + International Shipping Cost + Optional or Special Handling Fees + Other Costs.

Gemslinks provides a cost breakdown before payment whenever possible. We do not purchase items or start shipment handling before quotation approval, payment confirmation and acceptance of first-transaction service terms.

Quotation amount

The quotation amount may include product cost, Japan domestic delivery cost, Gemslinks service fees, receiving and handling fees, packing fees, international shipping cost, optional or special handling fees and other costs required for the requested arrangement.

Small differences between estimated and final costs may not be individually refunded or charged. If significant additional costs become necessary due to changes in item condition, seller condition, shipment size, carrier acceptance, destination, documentation or regulatory requirements, Gemslinks may contact the customer for approval before proceeding whenever possible.

Possible cost changes after quotation

Costs may change after quotation due to product price changes, stockout, seller-side changes, Japan domestic delivery changes, actual packed weight or volumetric weight, fuel surcharge, remote area surcharge, carrier additional handling fees, additional regulatory review, additional documents, special packing, return, storage or disposal requirements.

If significant additional costs become necessary, we will contact the customer before proceeding whenever possible.

Payment timing

Payment is generally required after quotation approval and before the purchase or shipment handling process begins. For the first transaction, acceptance of Gemslinks’ quotation and service terms is also required before work starts.

Available payment methods may differ depending on the shipment, amount, destination country and payment provider conditions.

Costs usually not included in our quotation

Unless specifically stated, customs duties, import taxes, VAT, GST, destination-side customs clearance fees, inspection fees, destination-side storage fees, local carrier fees, return shipping charges, reshipment charges, disposal costs, import permits, registrations, certificates, licenses and other destination-side costs are not included.

These costs are generally the responsibility of the customer, recipient or importer.

Cancellation and refund conditions depend on the progress of the request.

Status General Policy
Before purchase Cancellation may be possible before product purchase. Any research fee, handling fee, payment fee or other already-incurred cost may be deducted.
After purchase Product cost, domestic shipping, purchase support fee and other already-incurred costs are generally non-refundable.
Product unavailable If the product cannot be purchased due to stockout, seller cancellation, price change or other seller-side reasons, we will discuss refund of unused amounts, alternative options or re-quotation.
Export or shipping not possible If export, carrier acceptance or shipping is later found to be impossible, we will discuss refund of unused amounts, domestic return, storage, disposal or other available options after deducting incurred costs.
After international shipment Cancellation and refund are generally not available after international shipment. Carrier rules and compensation conditions apply to delay, damage, loss or return shipment.

Even if an item can be legally purchased in Japan, it may not be exportable or importable in the destination country. We may decline any request based on item details, destination country rules, carrier acceptance, payment provider conditions or our internal compliance review.

International shipments may be subject to customs inspection, import duties, import taxes, additional document requests, customs hold, return shipment, seizure or disposal depending on the destination country and item details.

Gemslinks supports purchase assistance and export shipping arrangement from Japan, but does not guarantee import customs clearance, duty amount, delivery date, destination-side import approval or compliance with local regulations.

Destination-side duties, taxes, storage fees, inspection fees, return shipping charges, disposal costs and other destination-side costs are generally the responsibility of the customer, recipient or importer.

The customer or recipient should confirm destination-side import requirements, restrictions, taxes, permits and documents where necessary.

First Transaction Confirmation

Agreement to Quotation and Service Terms Is Required Before the First Transaction

Before Gemslinks starts purchase assistance, receiving, storage or shipment handling for the first transaction, the customer must agree to the quotation and Gemslinks’ service terms.

The first-transaction confirmation is intended to clarify the service scope, customer responsibilities, prohibited items, payment conditions, cancellation and refund conditions, handling of non-exportable items and liability limitations before any purchase or shipment work begins.

If the required agreement is not completed, Gemslinks cannot start product purchase, receiving, storage, packing or international shipment arrangement.

How is Gemslinks different from a simple proxy purchase service?

Gemslinks is an international freight forwarder, not only a purchase support provider. We review item details, destination country, carrier requirements and available shipping options from a logistics and customs perspective before accepting a request. We cannot guarantee destination-side import approval, customs clearance, duty amount or final delivery, but we can help organize shipment information before export and, where appropriate, coordinate practical options with overseas logistics partners if destination-side issues occur. Additional service fees and actual costs may apply.

Can Gemslinks purchase and ship any product from Japan?

No. All requests are subject to item details, seller information, destination country regulations, carrier rules, payment provider policies, service terms and applicable laws. Prohibited, restricted, unclear or high-risk items cannot be handled.

Can I send items to Gemslinks before approval?

No. Please do not send items to Gemslinks before our approval. Items sent without prior approval, unclear items, prohibited items, restricted items or high-risk items may be refused, returned, stored or disposed of at the customer’s cost.

Can Gemslinks receive and ship items I have already purchased?

This service is mainly designed for purchase support after Gemslinks reviews the item in advance. If you have already purchased an item, please contact us before sending it to Gemslinks and provide the item URL, order details, seller information, item details, value, destination country, intended use and preferred shipping method. We will review the request separately.

Can Gemslinks purchase used goods?

It depends on the item. Used goods, branded goods, electronics, battery-powered items and items with unclear condition or value may require additional review. Counterfeit goods or goods with unclear authenticity cannot be handled.

Does Gemslinks inspect or test the product?

Basic confirmation may include quantity, outer condition and basic item information where reasonably possible. Professional inspection, authenticity verification, functional testing and quality guarantee are not included unless separately agreed. Photo confirmation or opening confirmation may be available as a paid option, but this does not mean that Gemslinks guarantees product quality, authenticity or functionality.

Who pays customs duties and import taxes?

Customs duties, import taxes, VAT, GST, destination-side storage, inspection fees, return shipping charges and other destination-side charges are generally the responsibility of the customer, recipient or importer.

When does Gemslinks start purchasing the item?

Gemslinks starts the purchase and handling process only after quotation approval, payment confirmation and acceptance of first-transaction service terms. We do not purchase items before approval and payment confirmation.

Can I cancel after the product has been purchased?

After purchase, product cost, domestic shipping, purchase support fee and other already-incurred costs are generally non-refundable. Seller-side cancellation and return conditions may also apply.

What happens if the item cannot be shipped after purchase?

If an item is later found to be non-exportable, unacceptable by the carrier or not importable in the destination country, we will discuss available options such as domestic return, storage, disposal or refund of unused amounts after deducting incurred costs. Return, storage, disposal or other related costs may be charged to the customer.

Can Gemslinks handle cash-on-delivery, collect payment, auction or flea-market purchases?
