Important: Gemslinks cannot start purchase assistance, domestic receiving, packing arrangement or international shipment handling until the customer has approved the quotation and confirmed acceptance of these Service Terms and Conditions in writing.
These Service Terms and Conditions apply to the Japan Small Parcel Purchase & Export Service provided by Gemslinks Co., Ltd. ("Gemslinks", "we", "our" or "us") to the customer ("Customer", "you" or "your").
Before Gemslinks starts any purchase assistance, domestic receiving, storage, packing, repacking, handling or international shipment arrangement, the Customer must review and accept these terms together with the relevant quotation.
1. Service Scope
Gemslinks provides Japan-side support for eligible small parcel purchase and export shipments from Japan.
The service may include, depending on the quotation and Gemslinks' prior approval:
- Pre-purchase review of item details, seller information, destination country, shipping method and handling feasibility;
- Quotation preparation;
- Purchase assistance for eligible products sold in Japan;
- Domestic receiving in Japan;
- Basic item and package confirmation where reasonably possible;
- Packing or repacking coordination;
- International shipment arrangement by EMS, DHL, FedEx, UPS or other available carrier services;
- Sharing of tracking information after shipment arrangement.
Gemslinks may decline any request before or after quotation if the item, seller, destination country, payment condition, carrier condition, legal requirement or handling feasibility is not acceptable to Gemslinks.
2. Gemslinks' Role
Gemslinks acts as a Japan-side purchase and export shipment support provider.
Gemslinks is not the manufacturer of the product, not the seller of the original product, not the destination-side importer, and not the authority responsible for customs clearance, import approval or delivery in the destination country.
Unless separately agreed in writing, Gemslinks does not provide:
- Product quality guarantee;
- Authenticity guarantee;
- Functional testing;
- Professional inspection;
- Manufacturer or seller warranty handling;
- Import approval guarantee;
- Customs clearance guarantee;
- Customs duty or tax guarantee;
- Delivery date guarantee;
- Independent compensation beyond the applicable carrier's terms and conditions.
3. Customer Information Responsibility
The Customer is responsible for providing accurate, complete and truthful information before quotation, purchase and shipment.
The Customer must provide, where applicable:
- Product name;
- Product URL or store information;
- Quantity;
- Unit price and total value;
- New or used condition;
- Brand, model number, specifications and manufacturer information;
- Material, ingredients, purpose and product category;
- Whether the item includes batteries, liquids, powders, food, cosmetics, medicine, medical devices, chemicals, branded goods or other regulated items;
- Destination country and city;
- Recipient information;
- Intended use;
- Preferred shipping method;
- Any known import restrictions, permits, licenses, certificates or registration requirements in the destination country.
If the information provided by the Customer is incomplete, incorrect, misleading or insufficient, Gemslinks may decline the request, suspend handling, request additional information, return the item, store the item, dispose of the item or take other reasonable action at the Customer's cost.
4. Prior Approval Required
The Customer must not send any item to Gemslinks before receiving prior approval from Gemslinks.
Items sent to Gemslinks without prior approval are outside the standard service scope.
If an item is sent to Gemslinks without prior approval, or if the item is unclear, prohibited, restricted, high-risk or not acceptable for handling, Gemslinks may refuse, return, store or dispose of the item at the Customer's cost.
5. Prohibited and Restricted Items
Gemslinks does not handle prohibited items, illegal goods, restricted goods, unclear goods, high-risk goods or goods that cannot be accepted under applicable laws, export or import regulations, carrier rules, payment provider policies or Gemslinks' internal review.
Items generally not accepted include, but are not limited to:
- Illegal goods or goods violating applicable laws;
- Counterfeit goods, imitation products or goods with unclear authenticity;
- Stolen or fraudulently obtained goods;
- Weapons, ammunition, knives and weapon parts;
- Narcotics, illegal drugs, CBD, THC and controlled substances;
- Prescription medicines, unapproved medicines and certain medical devices;
- Dangerous goods, flammable goods, explosives, sprays and chemicals;
- Cash, gift cards, prepaid cards, securities and negotiable instruments;
- Adult goods, sexually explicit goods or goods related to sexual services;
- Live animals, plants and certain animal or plant-derived products;
- Goods restricted by CITES or similar regulations;
- Goods related to sanctions, embargoes or restricted parties;
- Items with unclear contents or insufficient information.
Items requiring careful prior review include, but are not limited to:
- Food, beverages or supplements;
- Cosmetics, liquids, powders or gels;
- Battery-powered devices or lithium batteries;
- Branded goods or luxury items;
- Electronics and precision equipment;
- Medical, health-related or hygiene products;
- Leather, wood, plant-derived or animal-derived products;
- Used goods with unclear condition or value;
- Items requiring special import permits in the destination country;
- Items purchased through flea markets, auctions or private sellers.
Even if an item can be legally purchased in Japan, it may not be exportable from Japan, acceptable by the carrier, or importable into the destination country.
6. Quotation, Payment and Additional Costs
Gemslinks provides services on an individual quotation basis.
The quotation may include, depending on the case:
- Product cost;
- Japan domestic delivery cost;
- Gemslinks service fees;
- Purchase support fee;
- Domestic receiving and handling fee;
- Item or variation handling fee;
- Packing or repacking cost;
- International shipping cost;
- Optional or special handling fees;
- Document or regulatory review fees;
- Other actual costs or estimated costs.
Payment is generally required after quotation approval and before Gemslinks starts purchase assistance, receiving, storage, packing, handling or shipment arrangement.
Gemslinks is not required to purchase products or start shipment handling before quotation approval, payment confirmation and acceptance of these Service Terms and Conditions.
Costs may change after quotation due to circumstances including, but not limited to:
- Product price change;
- Stockout;
- Seller-side change;
- Domestic delivery cost change;
- Payment provider fee;
- Actual packed weight or volumetric weight;
- Fuel surcharge;
- Remote area surcharge;
- Carrier additional handling fee;
- Additional regulatory review;
- Additional document requirement;
- Special packing requirement;
- Return, storage, reshipment or disposal requirement.
If significant additional costs become necessary, Gemslinks will contact the Customer for approval whenever reasonably possible. However, third-party additional costs imposed by sellers, carriers, couriers, storage providers, customs authorities or other external providers are the Customer's responsibility if they arise in relation to the Customer's request or shipment. Gemslinks will provide reasonable evidence or supporting information where available.
7. Cancellation and Refund
Cancellation and refund conditions depend on the progress of the request.
Before product purchase, cancellation may be possible. However, any research fee, service fee, payment fee, handling fee or other already-incurred cost may be deducted.
After product purchase, the product cost, domestic shipping cost, purchase support fee, payment fee, seller-side fee and other already-incurred costs are generally non-refundable.
If the product cannot be purchased due to stockout, seller cancellation, price change or other seller-side reasons, Gemslinks will discuss refund of unused amounts, alternative options or re-quotation with the Customer.
If export, carrier acceptance or international shipment later becomes impossible after purchase or receiving, Gemslinks will discuss available options such as domestic return, storage, disposal, reshipment or refund of unused amounts after deducting already-incurred costs.
After international shipment has been arranged, cancellation and refund are generally not available. Carrier rules and compensation conditions apply to delay, damage, loss, return or other shipment incidents.
8. Basic Confirmation and No Product Guarantee
Gemslinks may perform basic confirmation where reasonably possible.
Basic confirmation may include visible quantity, outer package condition, item name, label information or other basic information.
Basic confirmation does not include:
- Professional inspection;
- Quality inspection;
- Authenticity verification;
- Functional testing;
- Safety testing;
- Legal conformity testing;
- Manufacturer warranty confirmation;
- Suitability confirmation for the Customer's intended use.
Photo confirmation or opening confirmation may be available as a paid option where possible. However, this does not mean that Gemslinks guarantees product quality, authenticity, functionality, legality, safety or fitness for use.
9. Customs, Import Duties and Destination-Side Responsibility
International shipments may be subject to customs inspection, import duties, import taxes, VAT, GST, additional document requests, customs hold, storage, return shipment, seizure or disposal depending on the destination country and item details.
Gemslinks does not guarantee:
- Import customs clearance;
- Import approval;
- Duty or tax amount;
- Customs inspection result;
- Delivery date;
- Destination-side regulatory compliance;
- Destination-side permits, licenses, certificates or registrations.
The Customer, recipient or importer is responsible for confirming destination-side import requirements, restrictions, taxes, permits, documents, licenses and compliance obligations.
Unless specifically included in the quotation, destination-side duties, taxes, customs clearance fees, inspection fees, storage fees, local carrier fees, return shipping charges, reshipment charges, disposal costs, permits, registrations, certificates, licenses and other destination-side costs are not included and are the responsibility of the Customer, recipient or importer.
10. Carrier Rules and Shipment Incidents
International shipment is subject to the terms, conditions, limitations and compensation rules of the relevant carrier, postal operator, courier company, airline, logistics provider or other third-party service provider.
Gemslinks is not responsible for delays, damage, loss, customs hold, return, seizure, disposal, delivery failure or additional charges caused by:
- Carrier handling;
- Customs or government authority decision;
- Incomplete or incorrect information provided by the Customer;
- Destination-side import restrictions;
- Recipient's failure to respond or receive the shipment;
- Force majeure;
- Weather, strike, war, riot, pandemic, system failure or other events beyond Gemslinks' reasonable control;
- Seller-side error, delay, cancellation or misrepresentation.
If an issue occurs, Gemslinks may support practical coordination where possible. Additional service fees and actual costs may apply.
11. Storage, Return, Reshipment and Disposal
If an item cannot be shipped, cannot be returned immediately, is waiting for Customer instruction, or remains at Gemslinks beyond the free storage period, storage fees may apply.
If the Customer does not provide necessary instructions, documents, payment or response within a reasonable period, Gemslinks may return, store, dispose of or take other reasonable action regarding the item at the Customer's cost.
Return, reshipment, disposal, storage, carrier charges, domestic delivery fees, customs-related charges and other actual costs are the responsibility of the Customer unless otherwise agreed in writing.
12. Compliance and Refusal Right
Gemslinks may refuse, suspend or cancel any request if Gemslinks determines that the transaction may involve prohibited goods, restricted goods, unclear goods, sanctions risk, payment risk, fraud risk, legal risk, carrier refusal risk, customs risk, reputational risk or other unacceptable risk.
Gemslinks may request additional information, documents, photos, product specifications, SDS, ingredient lists, manufacturer documents, seller information, import permits or other supporting documents before proceeding.
If the Customer does not provide the requested information or documents, Gemslinks may decline or suspend the request.
13. Customer Confirmation
By approving the quotation and accepting these Service Terms and Conditions, the Customer confirms that:
- The Customer has reviewed and accepted Gemslinks' quotation;
- The Customer has reviewed and accepted these Service Terms and Conditions;
- The Customer has provided accurate and complete item, seller, value, destination and intended-use information;
- The Customer has not requested Gemslinks to handle prohibited, illegal, counterfeit, restricted or unclear goods;
- The Customer understands that Gemslinks may decline the request based on item details, destination rules, carrier rules, payment provider policies or internal review;
- The Customer understands that product quality, authenticity, functionality and suitability are not guaranteed by Gemslinks;
- The Customer understands that import customs clearance, duty amount, import approval and delivery date are not guaranteed by Gemslinks;
- The Customer agrees to pay additional costs that arise due to seller, carrier, customs, storage, return, reshipment, disposal or regulatory requirements;
- The Customer understands that after purchase, already-incurred costs are generally non-refundable;
- The Customer agrees not to send items to Gemslinks without prior approval.
14. Applicable Version
These Service Terms and Conditions may be updated from time to time.
The version applicable to each transaction is the version referenced in the quotation email, quotation document or other written confirmation from Gemslinks at the time the Customer approves the quotation or shipment request.
If a translation is provided, the English version shall prevail unless otherwise agreed in writing.
15. Acceptance by Email
Gemslinks may request the Customer to approve the relevant quotation, service step, fee confirmation and these Service Terms and Conditions by email before proceeding.
The Customer may confirm acceptance by replying to Gemslinks' quotation approval email using the following format:

By replying with the approval format above, the Customer confirms approval of the quotation and acceptance of these Service Terms and Conditions.
After receiving the Customer's email approval, Gemslinks may send a payment link or payment instructions. Gemslinks will start the approved support work after payment has been confirmed, unless otherwise agreed in writing.
