The item may be restricted, the description may be unclear, the destination country may require additional documents, or the carrier may refuse acceptance. This service is designed to help customers understand the initial feasibility before moving to shipment quotation or paid support work.

We first check whether the request may fall within our service scope or appears clearly difficult. This is a general first check only.

Initial Feasibility Screening

We request and organize item information, photos, quantity, condition, destination country and shipment purpose, then provide an initial view on whether shipment may be possible.

Go / No-Go Decision

After receiving the screening result, the customer may decide whether to proceed, stop the process, request an optional written report, or move to shipment quotation.

Optional Diagnosis Report

If requested, we prepare a written summary of the screening result, key concerns, required information and possible next steps for internal review, comparison or a second opinion.

Paid Gemslinks service fees are generally non-refundable after payment, even if the screening result indicates that shipment is not possible, not recommended, or outside our support scope.

Customer Responsibility

The customer remains the owner and primary responsible party.

Under this service, Gemslinks does not take physical possession of the goods.

The customer remains responsible for ownership of the goods, accuracy of item information, shipment purpose, export-related declarations, importer or recipient designation, packing of the goods, handover to the carrier or pickup provider, and destination-side charges such as customs duties and import taxes.

If pickup is required, Gemslinks may help arrange a third-party carrier or pickup service. Gemslinks itself does not collect, open, inspect, pack, store or physically handle the goods.

Physical handling and logistics

  • We do not directly collect, open, inspect, test or pack the goods.

  • We do not guarantee delivery date or customs duty amount.

If a shipment requires packing, pickup or transportation in Japan, Gemslinks may support arrangement of a third-party provider. The actual packing, pickup and transport are performed by the third-party provider, not by Gemslinks.

Main cost items if shipment proceeds

If the customer proceeds after the screening result and shipment quotation, the following fees may be included in the quotation depending on the shipment requirements.

Payment

Payment for each approved step is generally required in advance. Payment can be made by bank transfer or by credit card via a payment link. Bank transfer fees and payment processing fees are borne by the customer.

Before payment, customers will be asked to review the applicable service step, fee, scope of work, refund conditions and any estimated actual costs.

No additional paid work will be started without your prior approval. After reviewing the initial screening result, you may proceed to shipment quotation, request an optional written report, or stop the process.

Cancellation and Refund Conditions

Cancellation and refund conditions depend on the payment status, the approved service step, and whether third-party costs have already been incurred.

Before payment Cancellation is possible before bank transfer or payment is completed. No Gemslinks service fee will be charged for the unpaid step.
After payment is completed Gemslinks service fees for each approved step are generally non-refundable after bank transfer or payment has been completed, except where Gemslinks is unable to provide the approved service due to a Gemslinks-side reason.
Initial feasibility screening The initial feasibility screening fee is non-refundable after payment, even if the screening result indicates that shipment is not recommended, not possible, outside our support scope, or requires additional information. The fee is charged for requesting, organizing and reviewing item information and providing an initial shipment feasibility view.
Optional diagnosis report The optional export readiness diagnosis report fee is generally non-refundable after payment. This fee is charged for preparing a written diagnosis summary, including the screening result, key concerns, required information and possible next steps.
Courier shipment support Gemslinks handling fees and courier shipment support fees are generally non-refundable after payment. This includes support for shipment information organization, waybill preparation, export declaration information support and courier arrangement support.
Third-party provider arrangement Gemslinks arrangement support fees are generally non-refundable after payment. Actual costs, cancellation fees, refund availability and compensation conditions for third-party packing providers, pickup providers, couriers, carriers or other external providers are subject to each provider's own rules and conditions.
Additional or exceptional support Additional or exceptional support is started only after customer approval. Once payment for the approved additional or exceptional support is completed, the fee is generally non-refundable.
Payment and refund-related fees Bank transfer fees, payment processing fees, refund fees, exchange losses and other payment-related costs are borne by the customer where applicable.

Gemslinks service fees are charged for support work such as checking item information, initial shipment feasibility screening, preparing a diagnosis report, supporting shipment procedures, and arranging third-party providers where applicable. Even if the result indicates that shipment is not possible, not recommended, or outside our support scope, Gemslinks service fees that have already been paid or performed are generally non-refundable.

Packing, pickup, delivery, international transportation, storage, return handling and compensation decisions performed by third-party packing providers, pickup providers, couriers, carriers or other external providers are subject to each provider's own rules, terms and compensation conditions. Gemslinks does not provide these third-party services directly.

Prohibited and Restricted Items

Gemslinks does not support illegal goods, prohibited goods, restricted goods or items that cannot be accepted under applicable laws, carrier rules or payment provider policies.

  • Goods that may infringe intellectual property rights, including trademark, copyright, design or patent rights.
  • Weapons, ammunition or weapon parts.
  • Drugs, CBD, THC or controlled substances.
  • Prescription medicines or regulated medical products.
  • Dangerous goods, flammable goods, sprays or chemicals.
  • Cash, gift cards, securities or negotiable instruments.

Items requiring prior review

  • Food, cosmetics, liquids, powders or supplements.
  • Used electronics or lithium battery items.
  • Branded goods or luxury items.
  • Animal, plant, leather, wood or CITES-related items.
  • Fragile goods, antiques, artworks or collectibles.
  • Items subject to export control, sanctions, embargoes, restricted-party rules or destination country restrictions.

Even if an item can be legally owned in Japan, it may not be suitable for international shipment.

Customs and Import Duties

Important notes about customs, duties and destination-side risks

International shipments may be subject to customs inspection, import duties, import taxes, document requests, customs hold, return shipment, seizure or disposal.

Gemslinks supports export preparation and courier arrangement procedures from Japan, but does not guarantee import customs clearance, duty amount, delivery date or final import approval in the destination country.

Destination-side duties, taxes, inspection fees, storage fees, return charges and disposal costs are generally the responsibility of the customer or importer.
