Important: Gemslinks cannot start any paid screening, specialist review, courier shipment procedure support, third-party packing or pickup arrangement support, or other approved support work until the customer has approved the relevant service step, confirmed the applicable fees and accepted these Service Terms and Conditions in writing.
These Service Terms and Conditions apply to the Japan Personal Belongings & Used Goods Export Service provided by Gemslinks Co., Ltd. ("Gemslinks", "we", "our" or "us") to the customer ("Customer", "you" or "your").
This service is designed for personal belongings, used goods, samples and small-lot cargo already owned by the Customer in Japan. Before Gemslinks starts any paid screening, specialist review, procedure support or arrangement support, the Customer must review and accept these terms together with the relevant quotation, fee confirmation or written service approval.
1. Service Scope
Gemslinks provides Japan-side export preparation and shipment procedure support for eligible customer-owned goods in Japan.
The service may include, depending on Gemslinks' prior approval and the applicable service step:
- Free pre-check to see whether the request may fall within the possible service scope;
- Initial feasibility screening based on item information, photos, quantity, condition, destination country and shipment purpose;
- Review of screening results and possible next steps;
- Optional Export & Import Readiness Review with Specialist Comments, if requested, quoted and approved;
- Required information checklist and shipment information organization;
- Carrier option review, including EMS, DHL, FedEx, UPS or other available services;
- Customer-led courier shipment procedure support;
- Waybill or shipment information preparation support where applicable;
- Export declaration information support where applicable;
- Third-party packing provider arrangement support, if requested and approved;
- Third-party pickup provider arrangement support, if requested and approved;
- Tracking information sharing where available after shipment has been arranged.
Gemslinks may decline any request before or after screening or quotation if the item, ownership status, shipment purpose, destination country, carrier condition, legal requirement, information quality or handling feasibility is not acceptable to Gemslinks.
2. Diagnosis-first Service Model
The first value of this service is export feasibility screening.
For personal belongings and used goods, shipment may not always be possible. The item may be restricted, the description may be unclear, the destination country may require additional documents, or the carrier may refuse acceptance.
The screening result is an initial practical review based on the information available at the time. It is not a legal opinion, customs ruling, carrier acceptance guarantee, export approval guarantee or import approval guarantee.
After receiving the screening result, the Customer may decide whether to stop the process, provide additional information, request an optional Export & Import Readiness Review with Specialist Comments, or proceed to shipment quotation if Gemslinks considers the shipment potentially possible.
3. Gemslinks' Role
Gemslinks acts as a Japan-side export feasibility screening and shipment procedure support provider.
Gemslinks is not the owner of the goods, not the seller, not the manufacturer, not the destination-side importer, not the actual packing provider, not the actual pickup provider and not the authority responsible for customs clearance, carrier acceptance, import approval or final delivery.
Unless separately agreed in writing, Gemslinks does not provide:
- Ownership verification guarantee;
- Authenticity guarantee;
- Value appraisal;
- Product condition guarantee;
- Professional inspection;
- Functional testing;
- Safety testing;
- Direct physical cargo handling;
- Direct packing, pickup or storage service;
- Carrier acceptance guarantee;
- Export approval guarantee;
- Import customs clearance guarantee;
- Customs duty or tax guarantee;
- Delivery date guarantee;
- Independent compensation beyond the applicable third-party provider's or carrier's terms and conditions.
4. Customer Responsibility
The Customer remains the owner and primary responsible party for the goods and shipment.
The Customer is responsible for:
- Ownership of the goods;
- Accuracy and completeness of item information;
- Accuracy of quantity, value, condition, materials, purpose and photos;
- Accuracy of shipment purpose, such as personal use, gift, donation, relocation, return, sample or business use;
- Accuracy of recipient, importer and destination information;
- Export-related declarations and shipment information;
- Packing of the goods, unless a third-party packing provider is separately arranged;
- Handover of the goods to the carrier, pickup provider or packing provider;
- Destination-side import requirements, permits, duties, taxes, inspection fees and other charges;
- Responding to additional information requests from Gemslinks, carriers, customs authorities or third-party providers.
If the Customer provides incomplete, incorrect, misleading or insufficient information, Gemslinks may decline the request, suspend support, request additional information, require re-quotation, or charge additional approved support fees and actual costs where applicable.
5. Physical Handling Boundaries
This service supports procedures, screening and arrangement support. Gemslinks does not directly collect, open, inspect, test, pack, store or physically handle the goods under this service.
If packing, pickup or domestic transportation in Japan is required, Gemslinks may support arrangement of a third-party packing provider, pickup provider, courier or other external provider, if requested by the Customer and accepted by Gemslinks.
The actual packing, pickup, domestic transportation, storage or other physical handling is performed by the relevant third-party provider, not by Gemslinks.
6. Required Information
To begin review or support, the Customer must provide accurate and complete information as much as possible.
Item information may include:
- Item name;
- Quantity;
- Used or new condition;
- Material and purpose;
- Approximate value;
- Photos, if available;
- Size and weight, if available;
- Brand, model number, serial number or product specifications, if applicable;
- Whether the item includes batteries, liquids, powders, food, cosmetics, medicines, chemicals, fragile parts or other regulated components.
Shipment information may include:
- Current location of the goods in Japan;
- Destination country and city;
- Recipient or importer information;
- Shipment purpose;
- Preferred shipping method, if any;
- Whether pickup, packing or third-party provider arrangement is required;
- Any known destination-side import restrictions, permits, licenses, certificates or registration requirements.
Additional information or documents may be requested depending on the item, shipment purpose, carrier requirements, applicable laws and destination country.
7. Prohibited and Restricted Items
Gemslinks does not support illegal goods, prohibited goods, restricted goods, unclear goods, high-risk goods or items that cannot be accepted under applicable laws, export or import regulations, carrier rules, payment provider policies or Gemslinks' internal review.
Items generally not accepted include, but are not limited to:
- Goods with unclear ownership;
- Counterfeit goods or goods with unclear authenticity;
- Goods that may infringe intellectual property rights, including trademark, copyright, design or patent rights;
- Stolen or fraudulently obtained goods;
- Weapons, ammunition, knives or weapon parts;
- Narcotics, illegal drugs, CBD, THC or controlled substances;
- Prescription medicines, unapproved medicines or regulated medical products;
- Dangerous goods, flammable goods, explosives, sprays or chemicals;
- Cash, gift cards, prepaid cards, securities or negotiable instruments;
- Live animals, plants and certain animal or plant-derived products;
- Goods restricted by CITES or similar regulations;
- Goods related to sanctions, embargoes, restricted parties or restricted destinations;
- Items with unclear contents or insufficient information.
Items requiring careful prior review include, but are not limited to:
- Food, cosmetics, liquids, powders or supplements;
- Used electronics or lithium battery items;
- Branded goods or luxury items;
- Animal, plant, leather, wood or CITES-related items;
- Fragile goods, antiques, artworks or collectibles;
- Relocation goods or mixed personal effects with many item types;
- Items subject to export control, sanctions, embargoes, restricted-party rules or destination country restrictions.
Even if an item can be legally owned in Japan, it may not be exportable from Japan, acceptable by the carrier, or importable into the destination country.
8. Fees and Payment
This service is provided in approved steps. No additional Gemslinks service work will be started without the Customer's prior approval.
Fees and costs may include Gemslinks service fees, optional specialist review fees, actual courier charges, third-party packing or pickup charges, storage charges, return charges, insurance, bank transfer fees, payment processing fees and other third-party costs.
Payment for each approved Gemslinks service step is generally required in advance by bank transfer or credit card via a payment link.
If the Customer requests an optional Export & Import Readiness Review with Specialist Comments, the fee will be quoted separately depending on the destination country, item type, review scope and third-party specialist costs.
Third-party costs and additional charges imposed by couriers, carriers, packing providers, pickup providers, warehouses, customs authorities or other external providers are the Customer's responsibility. Gemslinks will provide reasonable evidence or supporting information where available.
Gemslinks is not required to bear third-party costs on behalf of the Customer unless otherwise agreed in writing.
9. Cancellation and Refund
Cancellation and refund conditions depend on the payment status, the approved service step and whether third-party costs have already been incurred.
Before payment is completed, cancellation is generally possible for the unpaid step.
After payment is completed, Gemslinks service fees for each approved step are generally non-refundable after bank transfer or payment has been completed, except where Gemslinks is unable to provide the approved service due to a Gemslinks-side reason.
The initial feasibility screening fee is non-refundable after payment, even if the screening result indicates that shipment is not recommended, not possible, outside Gemslinks' support scope or requires additional information. The fee is charged for requesting, organizing and reviewing item information and providing an initial shipment feasibility view.
The optional Export & Import Readiness Review with Specialist Comments fee is generally non-refundable after payment once the approved review work has started or third-party specialist costs have been incurred. This fee is charged for coordinating preliminary comments from export-side and/or import-side customs brokers, local agents or specialists where applicable.
Courier shipment procedure support fees, third-party provider arrangement support fees and additional or exceptional support fees are generally non-refundable after payment once the approved support work has started or been performed.
Actual costs, cancellation fees, refund availability and compensation conditions for third-party packing providers, pickup providers, couriers, carriers or other external providers are subject to each provider's own rules and conditions.
Bank transfer fees, payment processing fees, refund fees, exchange losses and other payment-related costs are borne by the Customer where applicable.
10. Third-party Providers
If packing, pickup, domestic transportation, courier delivery, storage, return handling or other physical handling is required, Gemslinks may support arrangement with third-party providers where possible and approved.
Such third-party providers act under their own rules, terms, conditions, limitations, compensation policies and operational availability.
Gemslinks is not responsible for damage, loss, delay, refusal, cancellation, storage, return, disposal, additional charges or compensation decisions caused by third-party packing providers, pickup providers, couriers, carriers, warehouses or other external providers.
Gemslinks may support practical coordination where possible. Additional Gemslinks service fees and actual third-party costs may apply if additional or exceptional support is required.
11. Customs, Import Duties and Destination-Side Responsibility
International shipments may be subject to customs inspection, import duties, import taxes, VAT, GST, additional document requests, customs hold, storage, return shipment, seizure or disposal depending on the destination country and item details.
Gemslinks does not guarantee:
- Carrier acceptance;
- Export approval;
- Import customs clearance;
- Import approval;
- Duty or tax amount;
- Customs inspection result;
- Delivery date;
- Destination-side regulatory compliance;
- Destination-side permits, licenses, certificates or registrations.
The Customer, recipient or importer is responsible for confirming destination-side import requirements, restrictions, taxes, permits, documents, licenses and compliance obligations.
Unless specifically included in the quotation, destination-side duties, taxes, customs clearance fees, inspection fees, storage fees, local carrier fees, return shipping charges, reshipment charges, disposal costs, permits, registrations, certificates, licenses and other destination-side costs are not included and are the responsibility of the Customer, recipient or importer.
Specialist comments, if arranged, are preliminary comments only and do not constitute a customs ruling, legal opinion, export approval, import approval, tax guarantee, carrier acceptance guarantee or final regulatory decision.
12. Carrier Rules and Shipment Incidents
International shipment is subject to the terms, conditions, limitations and compensation rules of the relevant carrier, postal operator, courier company, airline, logistics provider or other third-party service provider.
Gemslinks is not responsible for delays, damage, loss, customs hold, return, seizure, disposal, delivery failure or additional charges caused by:
- Carrier handling or carrier refusal;
- Third-party provider handling;
- Customs or government authority decision;
- Incomplete or incorrect information provided by the Customer;
- Unclear ownership, unclear value, unclear purpose or unclear item description;
- Destination-side import restrictions;
- Recipient's failure to respond or receive the shipment;
- Force majeure;
- Weather, strike, war, riot, pandemic, system failure or other events beyond Gemslinks' reasonable control.
If an issue occurs, Gemslinks may support practical coordination where possible. Additional service fees and actual costs may apply.
13. Compliance and Refusal Right
Gemslinks may refuse, suspend or cancel any request if Gemslinks determines that the transaction may involve prohibited goods, restricted goods, unclear goods, unclear ownership, sanctions risk, payment risk, fraud risk, legal risk, carrier refusal risk, customs risk, reputational risk or other unacceptable risk.
Gemslinks may request additional information, documents, photos, product specifications, ownership evidence, value evidence, SDS, ingredient lists, manufacturer documents, import permits or other supporting documents before proceeding.
If the Customer does not provide the requested information or documents, Gemslinks may decline or suspend the request.
14. Customer Confirmation
By approving the relevant service step, quotation, fee confirmation or support request and accepting these Service Terms and Conditions, the Customer confirms that:
- The Customer has reviewed and accepted Gemslinks' relevant quotation, fee confirmation or service step;
- The Customer has reviewed and accepted these Service Terms and Conditions;
- The Customer owns or is authorized to arrange shipment of the goods;
- The Customer has provided accurate and complete item, value, condition, location, destination and shipment-purpose information;
- The Customer has not requested Gemslinks to support prohibited, illegal, counterfeit, restricted or unclear goods;
- The Customer understands that Gemslinks does not directly collect, open, inspect, test, pack, store or physically handle the goods;
- The Customer understands that Gemslinks may decline the request based on item details, ownership status, destination rules, carrier rules, payment provider policies or internal review;
- The Customer understands that ownership, authenticity, value, condition, carrier acceptance, customs clearance, import approval, duty amount and delivery date are not guaranteed by Gemslinks;
- The Customer understands that any specialist comments arranged by Gemslinks are preliminary comments only and do not guarantee export approval, import approval, customs clearance, duty amount, tax amount, carrier acceptance or final regulatory outcome;
- The Customer agrees to pay approved service fees and actual costs that arise due to third-party providers, carriers, customs, storage, return, reshipment, disposal or regulatory requirements;
- The Customer understands that paid Gemslinks service fees are generally non-refundable after payment once the approved service work has started or been performed.
15. Applicable Version
These Service Terms and Conditions may be updated from time to time.
The version applicable to each transaction is the version referenced in the quotation email, fee confirmation, quotation document or other written confirmation from Gemslinks at the time the Customer approves the relevant service step, quotation or shipment support request.
If a translation is provided, the English version shall prevail unless otherwise agreed in writing.
16. Acceptance by Email
Gemslinks may request the Customer to approve the relevant quotation, service step, fee confirmation and these Service Terms and Conditions by email before proceeding.
The Customer may confirm acceptance by replying to Gemslinks' quotation approval email using the following format:

By replying with the approval format above, the Customer confirms approval of the quotation and acceptance of these Service Terms and Conditions.
After receiving the Customer's email approval, Gemslinks may send a payment link or payment instructions. Gemslinks will start the approved support work after payment has been confirmed, unless otherwise agreed in writing.
