Japan Personal Belongings & Used Goods Export Service

These Service Terms and Conditions apply to Gemslinks' diagnosis-first export support service for customer-owned personal belongings, used goods, samples and small-lot cargo in Japan. Gemslinks supports feasibility screening and customer-led shipment procedures, but does not directly collect, open, inspect, pack, store or physically handle the goods.

Important: Gemslinks cannot start any paid screening, specialist review, courier shipment procedure support, third-party packing or pickup arrangement support, or other approved support work until the Customer has approved the relevant service step, accepted these Service Terms and Conditions in writing and completed any payment required before that service step.

These Service Terms and Conditions apply to the Japan Personal Belongings & Used Goods Export Service provided by Gemslinks Co., Ltd. ("Gemslinks", "we", "our" or "us") to the customer ("Customer", "you" or "your").

1. Service Scope and Gemslinks' Role

Gemslinks provides Japan-side export feasibility screening and shipment procedure support for eligible customer-owned personal belongings, used goods, samples and small-lot cargo in Japan.

The service may include, where approved:

  • Free pre-check and initial feasibility screening;
  • Optional Export & Import Readiness Review with Specialist Comments;
  • Shipment information organization and carrier option review;
  • Waybill or export declaration information support;
  • Customer-led courier shipment procedure support;
  • Third-party packing, pickup, domestic transport or storage arrangement support;
  • Tracking information sharing where available.

Gemslinks acts as a support and coordination provider. Gemslinks is not the owner, seller, manufacturer, importer, customs authority, carrier, actual packing provider or actual pickup provider.

Unless separately agreed in writing, Gemslinks does not provide ownership, authenticity, value, condition, functionality, safety, carrier acceptance, export approval, import approval, customs clearance, duty, tax or delivery-date guarantees.

2. Screening and Shipment Feasibility

Screening results, specialist comments, quotations and written acceptance are preliminary practical reviews based on the information available at the time. They are not legal opinions, customs rulings or guarantees of export, carrier acceptance, import clearance or final delivery.

Final shipment feasibility may change after packing, pickup arrangement, carrier review or presentation of the goods because of the actual condition, size, weight, packaging, documents, carrier rules, customs requirements, destination regulations or third-party provider conditions.

If shipment later becomes impossible or not recommended, Gemslinks may discuss practical options such as stopping the process, removing items, arranging further review, changing the carrier or shipping method, domestic return, storage, reshipment or other handling through third-party providers. Additional approved service fees and actual third-party costs may apply.

3. Customer Responsibility and Required Information

The Customer remains the owner and primary responsible party for the goods and shipment and must provide accurate, complete and truthful information.

Required information may include:

  • Item name, quantity, condition, material, purpose and approximate value;
  • Photos, size, weight, brand, model, serial number and specifications where applicable;
  • Details of batteries, liquids, powders, food, cosmetics, medicines, chemicals or other regulated components;
  • Current location, destination, recipient or importer details and shipment purpose;
  • Known permits, licences, certificates, registrations or destination-side restrictions;
  • Whether packing, pickup or other third-party support is required.

The Customer is responsible for ownership, shipment information, export-related declarations, packing unless separately arranged, handover of the goods and destination-side import requirements, duties, taxes and charges.

If information is incomplete, incorrect, ambiguous or misleading, Gemslinks may request further information, re-quote, suspend or decline the request, and charge approved additional support fees and actual costs where applicable.

4. Prohibited and Restricted Items

Gemslinks does not support illegal, prohibited, restricted, counterfeit, stolen, unclear, high-risk or insufficiently documented goods, or goods that cannot be accepted under applicable laws, sanctions, export or import regulations, carrier rules, payment-provider policies or Gemslinks' internal review.

Items generally not accepted include:

  • Goods with unclear ownership or authenticity;
  • Weapons, ammunition, illegal drugs, controlled substances and dangerous goods;
  • Cash, securities, gift cards and negotiable instruments;
  • Live animals, plants and regulated animal- or plant-derived products;
  • CITES-controlled goods and goods involving sanctions or restricted parties;
  • Items with unclear contents or insufficient supporting information.

Food, cosmetics, liquids, powders, supplements, batteries, electronics, branded goods, luxury goods, leather, wood, antiques, artworks, fragile goods, mixed personal effects and other regulated goods require careful prior review and may still be refused.

5. Physical Handling and Third-party Providers

Gemslinks does not directly collect, open, inspect, test, pack, store or physically handle the goods under this service.

Where requested and approved, Gemslinks may arrange third-party packing, pickup, domestic transportation, courier delivery, storage, return handling or other physical services. Such providers operate under their own terms, availability, limitations and compensation rules.

Gemslinks is not responsible for loss, damage, delay, refusal, cancellation, storage, return, disposal, additional charges or compensation decisions to the extent caused by a third-party provider. This limitation does not apply to the extent caused by Gemslinks' negligence, wilful misconduct, unauthorised instruction or material failure to follow the Customer's approved instructions.

6. Fees, Payment and Additional Costs

This service is provided in approved steps. Payment for each approved Gemslinks service step is generally required in advance by bank transfer or credit card payment link.

Fees may include Gemslinks service fees, specialist review fees, courier charges, third-party packing or pickup charges, storage, return, insurance, bank fees, payment processing fees and other actual costs.

Third-party costs and additional charges are the Customer's responsibility where they arise in relation to the Customer's request or shipment, except to the extent caused by Gemslinks' negligence, wilful misconduct, unauthorised action or material failure to follow the Customer's approved instructions.

Gemslinks is not required to advance or bear third-party costs unless otherwise agreed in writing.

7. Cancellation and Refund

Before payment, cancellation is generally possible for the unpaid step. After payment but before work starts, a refund may be made after deducting payment fees, bank charges, refund fees, exchange losses and other incurred costs.

After approved work starts, the relevant Gemslinks service fee is generally non-refundable because the fee is charged for the review, coordination or support work itself, even where the result is that shipment is not recommended or not possible.

If Gemslinks is unable to complete an approved service for a reason not attributable to the Customer or the goods, Gemslinks will refund the unused portion after deducting work already completed, unrecoverable third-party costs and actual refund, bank or payment-processing charges.

Where a refund is due, Gemslinks will process it within 10 business days after the refundable amount, any corresponding third-party refund and all applicable deductions have been confirmed. The actual credit date may depend on the relevant financial institution.

8. Customs, Carrier Rules and Destination Responsibility

The Customer, recipient or importer is responsible for destination-side import requirements, permits, licences, duties, taxes, customs clearance, inspections and other local obligations and costs unless specifically included in the quotation.

International shipment is subject to the terms, limitations and compensation rules of the relevant carrier, postal operator, courier, airline, logistics provider or other external provider.

Except to the extent caused by Gemslinks' negligence, wilful misconduct, unauthorised action or material failure to follow approved instructions, Gemslinks is not responsible for delay, loss, damage, customs hold, return, seizure, disposal, delivery failure or additional charges caused by carriers, third parties, customs authorities, incomplete information, destination restrictions, recipient failure, force majeure or other events beyond Gemslinks' reasonable control.

9. Claims and Supporting Evidence

The Customer must notify Gemslinks in writing of any visible shortage, incorrect item, package damage or other apparent issue within 7 calendar days after delivery, or within any shorter period required by the relevant carrier or third-party provider.

The Customer must retain the goods, packaging, labels, packing materials and relevant documents and provide photographs or other reasonable evidence requested by Gemslinks or the relevant provider.

Delayed notice or insufficient evidence may prevent investigation or a compensation claim. This does not limit any right that cannot lawfully be limited under applicable law.

10. Compliance, Refusal and Suspension

Gemslinks may refuse, suspend or cancel any request involving prohibited or restricted goods, unclear ownership, sanctions, payment, fraud, legal, customs, carrier, reputational or other unacceptable risk.

Gemslinks may request supporting information such as ownership or value evidence, photographs, specifications, SDS, ingredient lists, manufacturer documents or permits. If the Customer does not provide the requested material, Gemslinks may decline or suspend the request.

Completed service fees and incurred third-party costs are generally non-refundable where refusal, suspension or cancellation results from the Customer, the goods, incorrect information, non-payment, legal requirements, carrier refusal or other circumstances outside Gemslinks' control. Otherwise, unused amounts will be handled under Section 7.

11. Limitation of Liability

To the extent permitted by law, Gemslinks is responsible only for direct and reasonably foreseeable loss actually caused by its breach, negligence or failure to follow the Customer's approved instructions.

Gemslinks is not responsible for indirect, incidental, special or consequential loss, including loss of profit, business, opportunity, anticipated savings or reputation, except where such exclusion is not permitted by law.

Except in cases of Gemslinks' wilful misconduct or gross negligence, Gemslinks' total liability for each transaction will not exceed the total amount actually paid by the Customer to Gemslinks for the affected transaction or the actual direct loss, whichever is lower.

Where loss is caused by a carrier or third-party provider, that provider's compensation rules and limits apply to the extent permitted by law. Nothing in these terms excludes liability that cannot lawfully be excluded.

12. Governing Law and Applicable Version

These Service Terms and Conditions and each transaction under them are governed by the laws of Japan.

Nothing in these terms excludes or limits rights or protections that cannot lawfully be excluded or limited. If any provision is invalid or unenforceable, the remaining provisions continue in effect.

The applicable version is the version referenced in the quotation email, fee confirmation, quotation document or other written confirmation when the Customer approves the relevant service step. If a translation is provided, the English version prevails unless otherwise agreed in writing.

13. Customer Confirmation and Acceptance

By approving the relevant service step, quotation, fee confirmation or support request, the Customer confirms that:

  • The Customer owns or is authorised to arrange shipment of the goods;
  • The information provided is accurate and complete;
  • The goods are not prohibited, illegal, counterfeit, restricted or unclear;
  • Gemslinks does not directly pack, collect, inspect, store or physically handle the goods;
  • Screening, specialist comments, quotations and support do not guarantee export, carrier acceptance, import clearance or delivery;
  • Approved service fees and actual third-party costs are payable as described in these terms;
  • Paid service fees are generally non-refundable after the approved work starts, except as stated in Section 7.

The Customer may confirm acceptance by replying to Gemslinks' approval email using:
